The three main functions in Atlas are:
- Administrator (at account level);
- Owner (workgroup and content);
- Members (all users).
In this article, you will find the definition of each of them and what they are allowed to do with this access.
Remember that Atlas was created based on granular permissions. This means the account administrator does not necessarily need to be the owner of all workgroups, just like the board owner does not need to be an account administrator.
Let's understand the functions:

Company
- Administrator:His responsibility is to manage the portal, which involves user access, audit log, data backup, account security settings, see below everything this role can do in Atlas.
Some more functions below:
- Create Boards / Projects;
- Approve users to join the Portal;
- Set other administrators;
- Unblock users;
- Portal backup;
- Audit Log;
- Permission;
- Manage folders and files in the “Company Folders” field (Knowledge Base);
- Request signatures in the “Company Folders” field (Knowledge Base) – Enterprise Exclusive.

Boards
- Owner: This is the person responsible for managing this specific group, that is, managing who can view the content of this group (members), creating the calendar for future meetings, providing important communications and regulatory materials. The entire routine of that group lies with the person (or people) in that role.
Some more functions below:
- Create meetings;
- Create announcements;
- Set new Owners/ Members;
- Archive/ Restore Board;
- Export Data;
- Perform Board Backup;
- Edit Board Name and Description;
- Manage folders and files in the “Company Folders” field (Knowledge Base);
- Request signatures in the “Company Folders” field (Knowledge Base) – Enterprise Exclusive.

- Member: This is the person who can access content linked to the board, view and interact with meetings, commenting on agendas, votes and actions. Has visibility of the work group, being aware of the occurrence of meetings and communications generated by the owners.
Some more functions below:
- View meetings;
- View announcements;
- Comment on agendas, actions and votes that you are allowed to see;
- View and download documents you have permission to access;
- Vote and finalize actions that have been requested of him;
- Sign documents that were requested for another person – Enterprise Exclusive Electronic/ Digital;
- Perform Board Backup;
- Create folders and upload files in the “Board Folders” field (Knowledge Base).

Projects
- Owner: This is the person responsible for managing the project, that is, he manages who can view the content of this group (members), provides important communications and collaborates with the organization and definition of actions so that the project is completed, having full control over them.
Some more functions below:
- Create meetings;
- Create announcements;
- Set new Owners / Members;
- Archive Project;
- Generate Project Report;
- Edit Project Name and Description;
- Manage folders and files in the “Project Folders” field (Knowledge Base);
- Add new columns;
- Add new actions;

Manage actions;

- Member: This is the person who can access the content linked to the project, view and interact with the actions, as well as being able to create them. Has visibility of the project, being aware of the status of actions.
Some more functions below:
- View meetings;
- View announcements;
- Add new actions;
- Manage actions created by the same;
- Perform Project Backup;
- Manage folders and files created by the same, in the “Project Folders” field (Knowledge Base).
Important:
- Always associate the owner with content management, to make it easier to understand what he does. Whether you are an owner of the board, project, meeting, agenda or vote, your role will be to “manage” the specific content. Therefore, the person will be able to create, edit, delete specific content;

We strongly recommend that the account has 2 administrators or more, as well as work groups (board or project) have 2 owners. This way, users are not dependent on people for processes carried out by these functions.

Actions
- Creator: It is the person who requested the action for themselves or someone else in the workgroup that the content is in. This person will be able to follow this action via Outbox and will be notified when the action is completed.
Some more functions below:
- Edit title, description, responsible, registrants, delivery deadline and status;
- Delete the action;
- Finish the action;
- Add checklist;
- Send comments;
- Attach documents;
- Delete documents;
- Edit content preview (green key);
- Resend action (to do reminder).

- Responsible: This is the person who will perform the requested action. The person can find this pending issue in the Inbox and is notified at the moment the action is created.

- Edit title, description, person responsible, subscribers and status;
- Add checklist;
- Delete the action;
- Finish the action;
- Submit the action for review;
- Send comments;
- Attach documents;

Delete documents added by him.

- Subscribers: This person is a collaborator in the action or needs to be notified about its completion. She will receive an email notification when the action is completed.

Meetings
- Owner: Main responsibility is to control the meeting, being able to edit details – (such as what day and time it will take place, or who will participate) – create and edit order of agendas, create votes and attach Minutes.

- Create Actions;

Edit agenda order;
Edit meeting details;
- Fast forward and backward meeting status;
- Attach and view meeting minutes;

Request signatures for meeting minutes– Enterprise Exclusive;

- Attendees: This is the person who receives the invitation to participate in the meeting, invite updates if there are any changes, call notices when the agendas are defined, and notice when the Minutes are published.

- Guests: Is the external person who will participate in the meeting as a listener. Receive the appointment on the calendar with the video conference link to participate.
