Atlas AI is an additional feature that initially transcribes and summarizes meetings, but it does much more than that!
Using artificial intelligence, Atlas AI identifies who is speaking during the meeting, records the conversations, and provides us with a summarized overview of how the meeting went, what was discussed and decided, and what the next steps are.
Prerequisites:
To ensure that you can use Atlas AI, check the following points below.
1. Has this feature been purchased by your company?
Since Atlas AI is an additional resource (ADD-ON), it’s important to verify whether it has been purchased and enabled for use.
2. Is the feature enabled when we access the "Administration" section?
To check if the "Enable Atlas AI" switch is active, follow the path below:
- Click on your profile picture in the upper right corner of the screen and select "Administration";
- In the "Main" tab, scroll down until you find the "Other settings" section;
- Find the "Enable Atlas AI" switch and if it’s disabled, enable it.
3. Has it been integrated with Microsoft Teams?
As this feature works exclusively with Microsoft Teams, make sure that the integration is enabled by following the process below:
- Click on your profile picture in the upper right corner of the screen and select "Settings";
- In the "Integrations" tab, check if the "Microsoft Teams" switch is enabled, and if not, enable it.
How it works:
The topics below will clarify how Atlas AI is used.
1. Creating a meeting:
1.1 To use Atlas AI, simply create a meeting within Atlas, with the videoconference type set as "Microsoft Teams";
1.2 If the prerequisites are met, Atlas AI will appear as "Enabled" during the meeting.
1.3 Follow the meeting flow, set the agenda, and call the attendees.
2. During the meeting
2.1 When the meeting day and time arrive, Atlas AI will request to join the meeting so it can listen to the conversations.
It must be admitted to access the meeting, as it doesn’t have permission to bypass the Lobby.
Once admitted, Atlas AI will immediately start recording what is said.
2.2 To begin the transcription, it’s necessary that:
- Atlas AI is removed from the room;
- After all participants leave the meeting, Atlas AI will automatically exit the room 3 minutes after not hearing any sound.
3. Atlas AI Button
3.1 To view the Atlas AI button, the meeting must have the status "Ready / Meeting held"
3.2 When you click the button, you will see three options:
Overview:
This section displays everything discussed in the meeting in a summarized format, divided by themes, showing them with the following topics, if applicable:
- Context: What was discussed within the theme;
- Discussion: What participants said based on the theme;
- Decision: What was decided based on the theme;
- Agreed actions: The next steps agreed upon by participants based on the theme.
With this text, you have two options:
- Copy to clipboard: Click the two squares with a "+" icon inside, allowing you to paste the text into other fields where text input is possible;
- Add to the minutes: Add the text directly to the minutes (this option is unavailable if the minutes have already been published for the meeting).
On the right side of the screen, you can view the "Transcription" made during the meeting.
This transcription, like the summarized text, can be copied to the clipboard.
Suggested actions:
Based on what was discussed and the topics mentioned above, Atlas AI suggests actions to be taken, already designating the participants responsible for these actions and a deadline, if applicable.
You have two options with these suggested actions:
- Create the action by clicking the green "+" icon, where the action will be created with the designated responsible person and defined deadline.
- Delete the suggested action by clicking the "Trash" icon.
Insights:
Displays the percentage of speaking time participants had during the meeting.
Example: If during the meeting, half of the speaking time was by Participant 1 and the other half by Participant 2, both will have 50% of the speaking time.
Note:
If you do not want Atlas AI to transcribe your meetings:
- With the meeting in the "Agenda definition" status:
- Click "Edit";
- Find the "Transcribe recording with Atlas AI" switch and disable it;
- Create meetings without using Microsoft Teams (the feature is exclusively for use with Microsoft Teams).
