The Knowledge Base is a central library that supports boards, projects, and the company’s institutional documents. This space allows you to organize, store, and share important content such as policies, bylaws, internal regulations, and historical records.
Documents are organized into folders, which are divided by colors according to type and level of control.
Folder structure in the Knowledge Base
These folders are created manually and divided into:
Board / Project Folders:
Created by the board owners. They allow the creation of subfolders and the insertion of documents by members.
Company Folders:
Managed exclusively by the portal administrators. Users have view-only access.
Important rules:
Only Board / Project Folders allow access control via the green toggle;
Company Folders do not allow viewing restrictions, meaning the green toggle does not apply;
The management of these folders is centralized with the administrators.
Meeting Materials, Minutes, and Actions:
These folders are automatically created by the system based on the working groups.
Important rules:
They cannot be edited;
They do not allow manual document uploads;
They do not allow permission control;
They function only as automatic organization of system content.
How to consult documents in the Knowledge Base
To access the content:
Click on “Knowledge Base” in the side menu;
Select the desired Board or Project;
Browse through the available categories:
Board / Project Folders: manually inserted documents;
Meeting Materials: files attached to meetings;
Meeting Minutes: official records;
Board / Project Actions: attachments linked to actions.
Important:
The Meeting Materials, Meeting Minutes, and Board Actions folders are read-only;
Protected PDFs with signatures will have their signatures hidden in the portal preview.
Rules applicable in this context:
Access to content depends on the permissions defined in the folder (when applicable);
In Board Folders, viewing can be controlled;
In Company Folders and green folders, access cannot be restricted by regular users.
How to manage viewing permissions in folders
It is possible to restrict or grant access to specific content within board folders.
To configure:
Access the Knowledge Base;
Enter the Board or Project;
Click on “Board Folders”;
Select the desired folder;
Click on the “green toggle”;
Add or remove users;
Click on “Save”.
When a user is removed, they completely lose access to the folder, subfolders, and files.
Important:
For the removed user, the content will no longer appear in their view.
The board owner who created the folder and is removing viewing permissions from certain members cannot remove their own viewing permission.
Important rules:
This functionality applies only to Board / Project Folders;
Company Folders do not allow permission changes;
Folders automatically created by the system do not have manual access control;
Access control is inherited by all linked subfolders and files.
