A deliberation is an essential feature for decision-making within a meeting, allowing different votes to be consolidated into a single result.
In Atlas, this process has been structured to ensure clarity, integrity of information, and security in recorded decisions.
There are two types of voting available, which can be used according to the purpose of the deliberation.
Types of voting:
Approval
Used to validate content or decisions. It has fixed voting options: yes, no, or abstain.
It is commonly applied, for example, in the approval of minutes.
Custom
Allows you to create tailored voting options.
Ideal for elections or more specific decisions, such as selecting members or suppliers.
How to create a deliberation
Access the desired meeting:
During the “Agenda Definition” status, in the upper corner select the three dots, click on “Create Agenda Item”, and select “Deliberation”.
2. Select the option “Deliberation”.
3. Choose the type of voting: Approval or Custom.
4. Enter the name of the deliberation.
5. Select the date and duration.
6. You may configure the deliberation by selecting options such as “Open Vote”, “Notify Voters”, or “Deliberation Available”.
7. Add the participants who will be able to vote.
8. Review the information and confirm the creation.
It is possible to link the deliberation to an agenda item. To do so, simply check the box located below the deliberation title and select the agenda item to which it will be linked.
Important
The deliberation can only be created during the “Agenda Definition” status of the meeting. If it is necessary to change the name of the deliberation, the meeting must also be in this same status. In addition, once the first vote has been recorded, it will no longer be possible to modify any of the information.
After the first vote has been recorded, it will not be possible to:
Add or remove voters
Change voting settings
Delete comments or attachments
Even with a retroactive deadline, voters will be able to cast their votes as long as the meeting has not been finalized.
After the meeting is finalized and the voting deadline has ended, it will not be possible to reopen it.
Once all voters have cast their votes, the deliberation will be automatically finalized by the system.
